Position Overview:
The Operations Manager supports the logistical and operational needs across various Programs and Events. This position has a heavy emphasis on budget management, cost controls, event coordination, travel and accommodation logistics, and inventory management. The ideal candidate is highly organized, adaptable, and able to multitask in a fast-paced environment.
This is a Hybrid work position.
Primary Responsibilities:
- Supervisors Conferences:
- Oversee the full planning and execution of conferences, including budget management, booking flights, hotels, and transportation.
- Handle purchasing of all supplies and materials required for conferences.
- Manage catering services to ensure smooth event operations.
- Program Logistics (North America):
- Coordinate all operations for the program, including car rentals, insurance matters, travel, and hotel accommodations.
- Process stipends and expenses, as well as handle the purchasing of computers, cell phones, and other technology needs.
- Hosting & Coordinating Delegations:
- Arrange hotels, meeting venues, and handle catering needs for visiting delegations to support successful engagements.
- Event Production & Support:
- Organize and produce approximately 36 events annually, including location scouting, vendor coordination, food orders, and logistical support, with an emphasis on the major conference.
- Systems & Inventory Management:
- Administer internal support systems, provide access and troubleshooting support, and maintain a well-organized inventory of conference supplies and equipment.
- Collaboration with Treasury and Financial Oversight:
- Work closely with the finance department on contract management and purchasing, ensuring alignment with budget allocations.
- Vehicle Management
- Supervise the management of some staff vehicles, ensuring economic oversight, annual maintenance, insurance, driver education, and accident response compliance.

Qualifications:
- BA/BS required. Master’s degree in a related field preferred.
- Fluency in written and spoken Hebrew is a huge plus.

Additional Requirements: This role may require occasional after-hours or weekend work based on event needs as well as occasional travel domestically and abroad.
